A few days ago I mentioned in this post that I was looking into an online app to help me maintain my Getting Things Done methodology when using Gmail as my only mail app.
The app in question has been Remember The Milk RTM, and so far I have been impressed enough to upgrade to the pro version. The basic version is free, and the pro version is subscription based for a mere $25 a year. What makes this so powerful is its tagging engine and the ability to save searches as task lists.
I set up RTM like this:
Since the tagging engine allows you to set multiple tags per item, I was able to define a GTD style legend for tasks like this:
-(actions)
@(context)
.(client)-(project)
Then I saved some searches as task lists. Here are a couple of examples:
In keeping with the GTD daily and weekly reviews, the following two saved searches are tooIs to identify improperly tagged tasks that could fall through the cracks.
This is my sanity check to find any task that does not have a context set, or no project, or not tagged at all:
SanityCheck: Searched for: NOT tagContains:@ or NOT tagContains:. OR isTagged:false
This is another check that I use to catch up since I tend to slam items in from Gmail just to get them recorded and tag them later.
2BTagged: Searched for: isTagged:false
For client related projects I save searches like this one for my a client. This way something like .clientname-page-layout and .clientname-setup-captcha all show up in one task list:
.ClientName: Searched for: status:incomplete and tagContains:.clientname
And of course I have saved searches for my action tags like -next and -waiting, and -someday
RTM has many ways to enter task items, email, twitter, iPhone, and yes Gmail, just to name a few. All in all I have been impressed, and if RTM continues to work as well as it has so far, I will have found the perfect GTD complement to my online life.
